Zapier, Make or n8n versus a custom AI workflow

Self-serve tools are a good answer for many jobs, and often the right place to start. A custom AI workflow earns its keep when the work varies, needs judgement, or needs a person to approve the important steps. Here is how to tell which one you need.

Self-serve automation tools compared with a custom AI workflow
QuestionZapier, Make or n8nCustom AI workflow
Who builds itYou or someone on your team, using the tool.A team builds it with you around your process.
Best atClear, repeatable steps between apps: when this happens, do that.Work that varies: reading what arrived, choosing the path and preparing the decision.
Unusual casesYou plan each path in advance. A case you did not plan for can fail or be skipped.Reads the case and either handles it by the rules or stops and asks a person.
ApprovalsPossible to add, but you design and maintain them yourself.Designed in: a named person approves the important steps, with the evidence beside the decision.
Record of decisionsRun history of what the automation did. What it looked at, which rule applied and who approved, kept so you can explain any decision.
UpkeepYour team keeps the flows working as apps and needs change.Agreed up front, including what happens when a tool or AI model changes.
Best whenThe process is simple and your team is happy to build and look after it.The process touches money, customers or compliance, or it is too varied for fixed rules.

Start with the simple tool if it fits

If a task is "when a form comes in, add a row and notify someone", a self-serve tool is fast and inexpensive to try. Many businesses get real value from them, and there is no reason to build anything custom for a job like that.

Signs you have outgrown fixed flows

  • You keep adding exceptions and the flow is hard to follow.
  • Items arrive in different shapes, such as invoices or emails that are not laid out the same way twice.
  • A mistake would cost money, upset a customer or break a rule.
  • Someone has to approve before the next step, and you need to show who and why.
  • Only one person understands how the flows work.

What a custom AI workflow adds

It reads what arrived

An AI model reads the email, document or request and works out what it is.

Rules you approved decide

Your written rules choose the outcome. The AI prepares the item and does not make up policy.

A person approves the important steps

Anything unusual, large or hard to undo waits for a named approver, with the evidence shown next to the decision. See human-in-the-loop automation.

Everything is recorded

You can see what it looked at, which rule it followed and who signed off.

They can work together

A custom workflow does not have to replace the tools you already use. Simple hand-offs can stay where they are while the judgement-heavy part is built properly. This is what we do under business process automation. If your tool is an older screen-recording bot, see RPA vs AI agents. We start by mapping the work and are happy to say when a simple tool is all you need.

Questions people ask

Is Zapier good enough for my business?

For simple, repeatable hand-offs between apps, often yes. For work that varies, needs judgement or needs a person to approve important steps, a custom workflow is usually a better fit.

Can n8n or Make use AI?

They can call AI models as one step in a flow. What a flow does not give you by itself is the design around the AI: rules, approvals, limits and a record. That part is what we build.

Do I have to replace my existing automations?

No. We build on the tools you already use and leave simple hand-offs alone. We focus on the part where work gets stuck.

How do I find out which I need?

Book a 30-minute discovery call and describe the process. You get a straight answer, including when a simple tool is enough.
